Madison Art Market Artist Onboarding App

Scope and operator
HawleyWorks, LLC, doing business as Madison Art Market (“we,” “us,” or “our”), operates an internal application to help onboard artists. This policy describes information handled by that application when its integrations are enabled. It supplements our general website privacy policy and does not change an artist’s signed vendor or consignment contract.
Information used
The onboarding workflow uses information artists provide in their Jotform vendor contract and information form, together with administrative records needed to process that submission. This can include names and business names, email and phone details, mailing addresses, artist biographies and creative-process descriptions, artwork and profile images, website and social links, participation preferences, and contract or approval status.
The QuickBooks vendor step uses relevant vendor identity and contact information to check for existing records and create a missing vendor. The workflow may retain submission identifiers, QuickBooks vendor IDs, Shopify record IDs, completion dates, and error or processing status to avoid duplicates and track onboarding. QuickBooks authorization credentials are for the authorized connection and must not be placed in public artist profiles.
How information is used and shared
Information is used to administer artist participation, maintain accurate vendor records, prepare permitted artist profiles, and resolve onboarding errors. Jotform receives form submissions; Google services support the administrative checklist and automation; Shopify stores artist website content; and Intuit QuickBooks Online stores vendor records. Each service processes information under its applicable terms and privacy policy.
Only artist content intended and authorized for publication belongs in public profiles. Private contact details, signed contracts, account credentials, and administrative records must not be published through the artist-profile workflow. QuickBooks data is used for the authorized internal onboarding purpose and is not sold, used for advertising, or published as artist website content. Information may also be disclosed when required by law.
Banking and payments
The vendor-creation step does not itself collect banking credentials, enroll an artist in direct deposit, or send payments. Banking setup, payment invitations, and commission payments are separate processes subject to their applicable service terms.
Access and safeguards
Access to nonpublic onboarding information is limited to authorized personnel and service providers who need it for their work. Authorized users must protect account access and connection credentials and keep private administrative information separate from public artist content. No internet service can guarantee absolute security.
Retention, corrections, and deletion
We retain onboarding and vendor records for as long as needed to administer the artist relationship and meet applicable accounting, legal, contractual, and recordkeeping obligations. Artists may contact us to request access to, correction of, or deletion of their information. We may need to verify a request and retain records that remain necessary for those obligations. Copies held by connected services are also subject to those services’ retention and deletion processes.
Disconnecting the application
An authorized company administrator may revoke the QuickBooks connection using QuickBooks’ connected-app controls. Revoking access stops future access through that connection; it does not automatically delete vendor records, prior checklist entries, or Shopify content. Contact us to request review of retained data or removal of published artist information.
